How to Calculate What Missed Calls Cost Your Home Service Business

A simple formula you can run with your own numbers, a worked example, and practical ways to stop the leak.

Key takeaways

  • Lost revenue from missed calls can be estimated with four numbers you likely already know.
  • Use your own data. Industry averages vary too much to be useful for your business.
  • Fixing response gaps often brings in revenue faster than buying more leads.

Most owners know they miss calls. Few know what those missed calls are worth. Putting a number on it makes the decision about what to fix much easier, and you can do it with information you probably already have.

The formula

Monthly revenue at risk = missed calls per month × share that were real job opportunities × your close rate × your average job value

Here's what each part means and where to find it.

1. Missed calls per month

Check your phone system or carrier's call log for calls that went unanswered or to voicemail. Count unique callers, not repeat attempts from the same number.

2. Share that were real job opportunities

Not every missed call is a new job. Some are vendors, spam, or existing customers checking in. Listen to a sample of voicemails or call some numbers back to estimate the share that were actual service requests.

3. Your close rate

Of the callers you do talk to, what share become paying customers? If you don't track this, look at last month's answered calls and count how many turned into booked jobs.

4. Your average job value

Use the average invoice for a new customer. If your jobs vary widely, run the formula separately for service calls and larger projects.

A worked example

These numbers are hypothetical, chosen to show the math. They are not a benchmark.

  • 40 missed calls per month
  • Half of them were real job opportunities: 20
  • A 40% close rate: 8 jobs
  • A $400 average job value

That's 8 jobs × $400 = $3,200 per month, or about $38,400 per year in revenue at risk, before counting any repeat business or referrals those customers might have brought.

Don't forget slow responses

Missed calls are the most visible leak, but slow responses to web forms, chat messages, and ad leads work the same way. Homeowners often contact several companies at once. If your reply comes hours later, the job may already be booked. You can run the same formula using unanswered or late-answered web leads.

What the number leaves out

  • Lifetime value. A customer you win today may call you again for years.
  • Referrals and reviews. Happy customers bring in more customers.
  • Marketing waste. Every missed call from an ad is a lead you already paid for.

How to stop the leak

  1. Answer more calls. Cover overflow and after-hours calls with an AI receptionist or answering service.
  2. Text back missed callers automatically. A quick text keeps the conversation going before they call someone else.
  3. Respond to web leads right away. Automated replies acknowledge every inquiry and invite the customer to book.
  4. Follow up on every estimate. A planned sequence of check-ins keeps quotes from going cold.
